'Document management system' sounds like enterprise licensing. What a small business actually needs is boring and achievable: every important paper scanned predictably, stored where it can be found by someone other than its creator, and deleted on schedule. Here's the pragmatic build.

Scan: remove the friction at source

Documents die in piles because scanning is annoying. Fix capture first: one scanner profile per document type (bills, IDs, challans), a fixed naming template typed once, and — for customer-facing counters — QR-based upload straight from the customer's phone into your folder structure, no cables or app installs. Capture friction is the whole battle; storage is easy once capture works.

Store: folders beat databases at this size

  • Convention example: YYYY/MM/type/vendor-or-person/description-code.pdf — decided ONCE, written down, followed.
  • A synced cloud drive gives search, version history and off-site backup at zero licence cost.
  • Access levels: owners everything; staff see operational folders, never statutory ones.

Find: name for the person who wasn't there

Search only works if names carry facts. Date plus vendor plus type finds last March's electricity bill in seconds; scan0042.pdf finds nothing forever. The naming convention IS the retrieval system — five minutes deciding it saves hundreds of hours.

Delete: retention rules protect you

  • Statutory records (GST etc.): keep the mandated period, then archive cold.
  • Customer IDs collected once: delete after need ends — holding them longer is liability, not diligence.
  • Counter uploads (print jobs etc.): automatic sweeps measured in days, not forever.
Retention isn't tidiness. Old documents you can't justify holding are the leak in your compliance posture.
