What it actually means
Reconciliation is proving three records tell the same story: what you billed (invoices), what the customer says they owe (their ledger or confirmations), and what actually landed in the bank. Sales invoices against purchase orders against payment receipts — matched line by line. When all three agree, the sale is truly closed.
Why manual matching breaks
- Amounts almost-match: part-payments, TDS deductions, round-offs, bank charges.
- References don't match: payer name differs from invoice name; UPI remarks are blank or cryptic.
- Timing drifts: cheque clearance and credit periods put payments days or weeks after invoices.
- Duplicates hide: the same bill forwarded twice by two people looks like two bills.
- Volume scales linearly with success — double the orders, double the evening matching.
The dangerous failures aren't the mismatches you find. They're the duplicates and partial payments nobody notices until year-end.
